Executive Assistant to the CEO

Job Description

Job Title: Executive Assistant to the CEO. Location: British Columbia, Canada

Responsibilities:

  • Manage a high-volume executive calendar with exceptional accuracy and attention to detail
  • Ensure the CEO remains prepared, punctual, and focused on high-priority initiatives
  • Prepare briefing materials, agendas, reports, presentations, and follow-up documentation
  • Track commitments, decisions, and action items through completion;
  • Coordinate executive travel, detailed itineraries, and contingency planning
  • Provide support to the Board Chair and Chief Financial Officer for scheduling, meeting preparation, and deliverables
  • Coordinate board meeting logistics, investor meetings, and executive communications
  • Work closely with other Executive Assistants to maintain operational alignment across teams
  • Draft and manage professional communications on behalf of the CEO;
  • Support interactions with investors, partners, senior leaders, and stakeholders
  • Improve operational processes and executive team efficiency
  • Coordinate strategic initiatives and special projects across departments

Qualifications:

  • 5+ years of experience supporting senior executives, preferably at CEO level
  • Strong organizational skills with excellent attention to detail
  • Ability to manage competing priorities in fast-paced environments
  • Excellent written and verbal communication skills;
  • Strong judgment, professionalism, and discretion with confidential information
  • Advanced proficiency in Microsoft 365 including Outlook, Word, Excel, PowerPoint, and MS Teams
  • Familiarity with AI tools and emerging technologies is considered an asset
  • Strong collaboration and relationship-building skills
  • Ability to work with urgency, adaptability, and accountability;
  • Willingness to occasionally work outside standard business hours
  • Ability to travel semi-regularly, primarily to Victoria, British Columbia
