Job Description

Job Title: Facilities Coordinator. location: Oxford, England, United Kingdom

Responsibilities:

  • Coordinate day-to-day facilities services across offices and laboratories, ensuring spaces are safe, functional, and well maintained.
  • Act as first point of contact for staff facilities requests, issues, and general workplace queries.
  • Manage soft FM services including cleaning, waste, consumables, furniture, and meeting room setup.
  • Oversee space management, including desk moves, minor layout changes, and operational setup;
  • Coordinate visitor access, inductions, badges, and meeting logistics in line with safety requirements.
  • Support planned maintenance by raising, tracking, and closing PPM work orders.
  • Coordinate contractors, including inductions, scheduling, and maintaining compliance records.
  • Administer permits-to-work in line with internal procedures;
  • Maintain facilities documentation, asset registers, logs, and trackers using Google Workspace.
  • Support health, safety, and compliance activities, including training records, incident reporting, audits, and risk assessments.
  • Assist with facilities projects, fit-outs, moves, and operational readiness activities.
  • Maintain performance dashboards and reports on facilities KPIs.

Qualifications:

  • Prior experience in facilities, workplace, operations, or compliance support roles.
  • Experience in regulated or controlled environments such as laboratories, R&D, healthcare, or manufacturing.
  • Strong organisational and coordination skills, with the ability to manage multiple priorities accurately.
  • Excellent communication skills for engaging with contractors, vendors, and internal teams.
  • Comfortable maintaining documentation, logs, trackers, and audit-ready records;
  • Proficient in digital tools, particularly Google Workspace (Docs, Sheets, Drive).
  • Awareness of facilities management processes, including soft and hard FM services.
  • Understanding of health, safety, and compliance practices.
  • Familiarity with planned maintenance, asset registers, or CAFM systems is desirable.
  • Experience in technical or lab environments is a plus;
  • Proactive, reliable, and highly organised mindset, with attention to detail.
  • Comfortable working on-site and hands-on in operational environments.
