Program Management Specialist

Job Description

Job Title: Program Management Specialist. Location: Sydney, Australia

You will work across research, product, and sales teams to support external engagements, from proposal creation to milestone tracking; As part of the operations-focused PMO team, you will help streamline execution, improve reporting, and enable the company’s growth in quantum technology.

Duties:

• Serve as proposal coordinator, working with internal teams to craft responses to identified opportunities.
• Liaise with stakeholders across Marketing, Finance, partners, and funding agencies to collect required information.
• Track opportunities and maintain key metrics for internal reporting and decision-making;
• Manage engagement lifecycles by coordinating tasks and deliverables with internal and external teams.
• Support Operations and Finance in budget planning, forecasting, and expense tracking;
• Apply risk management principles throughout project cycles and maintain risk treatment plans.
• Assist in the preparation of reports, presentations, and post-award documentation.
• Perform other related duties aligned with your skills and experience.

Qualifications:

• A degree in science or related field, or equivalent practical experience.
• 2–3 years of direct experience in project coordination or program management, ideally within hardware engineering or product development.
• Proven experience in writing or managing grant proposals, tenders, or funding submissions;
• Ability to work with multiple teams, including researchers, finance, and executives, to ensure on-time delivery.
• Strong communication and organizational skills with high attention to detail;
• Skilled at translating complex technical language into clear, concise, and persuasive content.
• Comfortable working in a fast-paced and evolving environment.
